Top 5 Tools I Use in My VA Business

As a Virtual Assistant, I’m often asked about the business tools I use. While some of them feel like second nature to me, I’ve come to realize that what’s obvious to me isn’t necessarily obvious to everyone else! So, here’s a rundown of my top five must-have tools that make running my business smoother and more efficient.

1. ClickUp – My Project & Task Management Lifesaver

ClickUp is an incredibly powerful tool for managing both projects and daily tasks. While it offers a vast range of features, it can feel a bit overwhelming at first. My advice? Start small! A simple to-do list is a great way to begin, allowing you to set deadlines, attach relevant files, and assign tasks to team members if needed.

And ClickUp isn’t just for work—it’s also fantastic for managing personal tasks. I even use it to assign tasks to my husband! With four businesses to run, this tool has been a game-changer in keeping everything organized and on track.

2. Calendly – The End of Endless Scheduling Emails

If you’re tired of back-and-forth emails just to schedule a meeting, Calendly is a game-changer. Instead of checking my availability and sending multiple options, I simply share my Calendly link. The recipient can then book a time that works for them, and Calendly automatically blocks out my unavailable slots.

With the free version, you can set up 15-, 30-, or 45-minute appointments and sync them with your calendar. I’ve also customized mine to send an automatic Zoom link and a pre-meeting questionnaire so I’m fully prepared for every meeting.


3. LastPass – Secure Password Management

When working with clients, securely sharing passwords is crucial—but email and text are not safe options. That’s where LastPass comes in!

LastPass securely stores and shares passwords, allowing you to access them with a single click. No more remembering a million different login details! It’s an essential tool for any VA who manages multiple accounts.


4. ChatGPT – My AI Assistant

There’s a lot of debate about AI, but here’s the truth: while AI is a fantastic tool, human interaction will always be in demand.

I use ChatGPT in a variety of ways, from brainstorming blog ideas and writing social media posts to analyzing data and conducting market research. Of course, it’s important to personalize AI-generated content, but when used correctly, it can save you a huge amount of time!


5. Xero – Simplifying Bookkeeping

Bookkeeping is not my favorite task, but Xero makes it much easier! I use it to set up recurring invoices for retainer clients, which saves me a ton of time.
